Office Manager / Bookkeeper

About the Role:
METHOD Architects is seeking an experienced, highly organized Office Manager/Bookkeeper to support the daily operations of our boutique architecture and interior design studio. This role is essential to ensure the smooth functioning of our office, the accuracy of our bookkeeping activities, and the continued positive experience for both our team and our clients. Reporting directly to the Controller and Managing Partner, this individual will provide reliable administrative, operational, and financial support. The ideal candidate is professional, detail-oriented, and proactive, someone who understands the rhythm of a creative studio and can confidently manage a wide range of responsibilities with efficiency, confidence, and composure.
Key Responsibilities:
Office & Studio Operations
Support leadership with weekly project schedule and staffing coordination.
Manage daily studio operations, including office calendar, meeting coordination, and travel planning.
Oversee phones, mail, packages, messenger deliveries, and incoming samples.
Maintain a clean, organized, and well-supplied studio environment.
Coordinate vendor services, office supply inventory, and equipment maintenance.
Manage building access for staff and visitors.
Assist with onboarding of new employees and track PTO and sick days.
Organize office events, team gatherings, and occasional project photoshoots.
Maintain well-structured digital and physical filing systems for administrative and operational documents.
Bookkeeping & Financial Support
Assist the Controller with monthly client invoicing and expense tracking.
Support basic accounting functions including QuickBooks and/or Deltek Ajera entries, reconciliations, and reporting.
Record, track, and reconcile accounts payable and accounts receivable.
Prepare vendor payments and support client billing and collections processes.
Assist with monitoring office budgets and general financial organization.
Minimum Qualifications:
Bachelor’s degree and 3–5 years of office management experience, preferably within a design or professional services environment.
Strong written and verbal communication skills with a polished, professional demeanor.
Proficiency in Microsoft Office Suite and cloud-based file management systems.
Bookkeeping experience; familiarity with QuickBooks and Deltek Ajera strongly preferred.
Exceptional organizational skills and the ability to manage multiple priorities simultaneously.
Self-directed, dependable, and able to work collaboratively within a small team.
Authorization to work in the United States (US Citizen / Green Card holder).
Compensation and Benefits:
Salary Range: $55,000–$75,000, based on experience.
